10 Things Your Bookkeeper Wishes You Knew | Adroit Bookkeeping

Most bookkeeping problems start with small habits, not big mistakes. At Adroit Bookkeeping in Beaver, we see the same patterns across local businesses: a shoebox of receipts in March, a personal card used for supplies, a contractor who never sent a W-9. Here are ten things your bookkeeper wishes you knew, followed by five firms in southern Utah that can help keep your books in order.

What does your bookkeeper wish you knew?

1. Why should business and personal money stay separate?

Mixing accounts is the fastest way to turn a one-hour monthly task into a five-hour one. A dedicated business checking account and card make every transaction easier to categorize, and they create a clean record if the IRS ever asks questions.

2. Do you really need to keep receipts?

Yes, and the receipt alone isn’t always enough. Write a quick note about the business purpose, especially for meals and travel. A photo saved to a shared folder works as well as paper.

3. How long should you keep business records?

Generally three years after you file, according to the IRS, but some records need longer. The IRS says to keep records for six years if you underreported income by more than 25 percent, seven years for a bad debt or worthless securities deduction, and at least four years for employment tax records.

4. How often should your accounts be reconciled?

Monthly. Reconciling means matching your books to your bank and credit card statements so nothing is missing or doubled. A duplicate charge is easy to catch in February and hard to find next January.

5. What changed with 1099s for 2026?

The reporting threshold went up. Under the One Big Beautiful Bill Act, businesses file Form 1099-NEC for contractors paid $2,000 or more in a year, starting with payments made after December 31, 2025, up from the old $600 threshold. The form is still due to contractors and the IRS by January 31. Collect a Form W-9 before the first payment.

6. When are quarterly estimated taxes due?

If you’re self-employed or own a pass-through business, federal estimated payments are generally due April 15, June 15, September 15, and January 15.

7. Is that worker an employee or a contractor?

It depends on control, not on what you call them. The IRS looks at behavioral control, financial control, and the relationship between the parties. Misclassifying an employee as a contractor can lead to back payroll taxes and penalties, so ask before you hire.

8. Are owner draws a business expense?

No. Money you take out of a sole proprietorship or LLC for yourself is a draw, which reduces your equity, not your profit. Recording draws as expenses understates income and creates problems at tax time.

9. Is a bookkeeper the same as a CPA?

No. A bookkeeper records and organizes transactions and produces reports. A certified public accountant is licensed by the state and can provide services that bookkeepers can’t, such as audits. In Utah, only licensed individuals may use the CPA title. Many businesses use both.

10. What should you do with your monthly reports?

Read them. A profit and loss statement shows what you earned and spent; a balance sheet shows what you own and owe. Ten minutes a month with those two reports will tell you more about your business than a year-end scramble.

Small habits, cleaner books

Good bookkeeping comes down to steady habits: separate accounts, saved receipts, monthly reconciliations, and a clear view of deadlines like 1099s and estimated taxes. Build those into your routine and tax season becomes a review instead of a rescue. If your books are behind, start with last month and work forward.
